GR Services, whose head office is located at Rue du Petit Ry 82, 1340 Ottignies Belgium and registered at the Belgium Crossroads Bank of Companies under the business number 0733.911.995, attaches great importance to the collection and secure, transparent and confidential processing of your personal data. The aim is to protect the data of our prospects, customers, subcontractors and suppliers, in particular, against loss, violations, errors, unauthorised access or unauthorised processing.
GR Services is an marketing and sport sale and services company, and as such provides on-demand marketing services (e.g. the design and execution of advertising campaigns, etc.) and provides the websites, www.shop.gofox.eu and www.gofox.eu, Gofox App (the ”App”) and related services.
With this data protection information note, which supplements our general terms and conditions of business, we would like to inform you about the collection and processing of your personal data in accordance with the legal provisions. We ask you to read this data protection notice carefully, as it contains important information about how and why we process your personal data.
By accepting the general terms and conditions of sale, or any other work provided by GR Services, the customer expressly agrees to the application of the following clauses concerning the processing of personal data.
By submitting your personal data, you explicitly declare that you have read this data protection information note and that you explicitly accept the content and the processing itself.
2. Field of application
This data protection information note concerns all the services provided by GR Services in terms of information technology – services and sale of equipment – but also in terms of media and creations.
3. Data controller and its commitments
GR Services, as described above, is responsible for the processing of your personal data. In the collection and processing of your personal data, we comply with Belgian legislation on the protection of personal data, as well as the General Data Protection Regulations (GDPR) as of its entry into force on 25 May 2018.
4. Purposes of the processing of personal data
Depending on your activities and your relationship with GR Services, you will provide us with the following personal data: your identity and contact details (e.g. name, title, address, e-mail address, telephone number, mobile phone).
In order to be able to use certain services offered via the website, you may be required to provide us with certain personal data, such as your name, e-mail address and telephone number.
The personal data is collected and processed on the basis of electronic forms to be filled in.
The data collected by GR Services via the website and/or Gofox App is communicated voluntarily by you via the related form. You are under no obligation to provide this data.
If you contact GR Services by e-mail to obtain information or request information, GR Services automatically obtains certain personal data. This data will be used to reply to your message. They may also be stored in a user database, to which the provisions of the Data Protection Regulations apply.
We would like to point out to you that you are responsible for all data you provide us with and we rely on their accuracy. If your data is no longer up to date, we ask you to inform us immediately.
4.1. Data from customers, suppliers and subcontractors
In the course of our services and activities, we collect and process identity and contact data of our customers, principals, their staff, employees, agents and other relevant contact persons.
The purposes of this processing are:
- the execution of agreements with our customers,
- customer management,
- accounting and,
- direct prospecting activities, such as potential sending promotional or commercial information.
The legal bases are:
- the execution of a contract,
- compliance with legal and regulatory obligations; and/or our legitimate interest.
4.2. Staff data
We process the personal data of our employees as part of our personnel and salary management. In view of its specific nature, this processing is dealt with in more detail in a Data Protection Policy for Employees.
4.3. Data from our suppliers and subcontractors
We collect and process the identity and contact details of our suppliers and subcontractors, as well as their possible (sub)subcontractors, their staff, employees, agents and any other useful contact persons.
The purposes of this processing are:
- the execution of agreements with our suppliers and subcontractors,
- supplier/subcontractor management,
- accounting and direct prospecting activities, such as potential sending promotional or commercial information.
The legal bases are:
- the execution of a contract,
- compliance with legal and regulatory obligations (such as mandatory electronic attendance registration, attendance list or other obligations in public procurement contracts, etc.) and/or our legitimate interest (such as for direct prospecting).
4.4. Other data
In addition to data from customers, suppliers, subcontractors and staff, we also process the personal data of other persons, such as new customers/prospects, useful contacts within our sector, networking contacts, etc. The purposes of this processing are in the interest of our activities, direct prospecting and public relations. The legal basis is our legitimate interest or, in certain cases, the execution of a contract.
5. Duration of treatment
Personal data are kept and processed by GR Services for a period necessary according to the purposes of the processing and the relationship (contractual or not) between us.
Customer and supplier or subcontractor data will, in all cases, be removed from our systems after a period of 2 years, after the termination of the contract, except for personal data that we are obliged to keep for a longer period on the basis of specific legislation or in the event of an ongoing dispute for which the personal data is necessary.
6. Rights
In accordance with and under the conditions of the Belgian data protection legislation and the provisions of the general data protection regulations, we inform you that you have the following rights:
- Right of access: you have the right to inspect the data we hold about you free of charge and to check the purposes for which it is used.
- Right of rectification: you have the right to obtain a rectification (correction) of erroneous personal data concerning you, as well as the right to complete incomplete personal data.
- Right to have your personal data erased or limited: you have the right to ask us to erase your personal data and to limit the processing of such data in the circumstances and under the conditions stipulated in the general data protection regulations. We may refuse the deletion or limitation of data required by us for the processing of salaries, the fulfilment of a legal obligation, the execution of the employment contract or our legitimate interest, provided that such data is necessary for the purposes for which it was collected.
- Right to data portability: you have the right to receive the personal data about you that you have provided to us, in a structured, commonly used and machine-readable format. You have the right to pass on such data to another data controller.
- Right to object: you have the right to object to the processing of your personal data on serious and legitimate grounds. You may not, however, object to the processing of data necessary to us for the performance of a legal obligation, the fulfilment of the employment contract or our legitimate interest, provided that such data is necessary for the purposes for which it was collected.
- Right of withdrawal of consent: If the processing of personal data is based on prior consent, you have the right to withdraw this consent. Personal data will then only be processed if we have another legal basis.
Automatic decisions and profiling: We confirm that the processing of personal data does not include profiling and that you will not be subject to fully automated decisions.

We make every effort to ensure meticulous and legitimate processing of your personal data, in accordance with the applicable regulations. If, however, you feel that your rights have not been respected and that your concerns are not being listened to within our company, you are free to file a complaint with the Commission for the Protection of Privacy.
You can also take legal action if you feel that you are suffering prejudice as a result of the processing of your personal data.
7. Cookies

8. Transfers of data to third parties
Some of the Workers’ personal data collected by the Employer will be transferred to and may be processed by third parties, such as our IT provider, accountant, auditors, as well as by the government.
Workers, managers and/or representatives of the above-mentioned service providers or institutions, as well as specialised service providers designated by them, are obliged to respect the confidential nature of your personal data and may only use such data for the purposes for which it was provided.
If necessary, personal data may be transmitted to other third parties. This may be done in the event of a partial or total reorganisation on our part, if our activities are transferred or in the event of a declaration of bankruptcy. It is also possible that personal data will have to be transferred due to an injunction or in order to fulfil a particular legal obligation. In this case, we will make every effort to inform you in advance of such disclosure to other third parties. You acknowledge and understand, however, that under certain circumstances this may not always be technically or commercially feasible, or that legal limitations may apply.

GR Services cannot be held liable for any direct or indirect damage caused by the erroneous or illicit use of personal data by a third party.
10. Third party access
In view of the processing of your personal data, we allow our employees, collaborators and agents access to your personal data. We ensure a similar level of protection by imposing contractual obligations on these employees, collaborators and agents, similar to those described in the Data Protection Notice.
